TERMS OF REFERENCE FOR PARTNERSHIP IN SOCIAL BUSINESS AT SOS CHILDREN’S VILLAGES IN RWANDA

Introduction

SOS Children’s Villages in Rwanda is an independent member association affiliated to the SOS Federation. As a childcare organization, SOS Children’s Villages in Rwanda leverages existing community resources to strengthen quality child care and protection through a holistic continuum of care tailored to orphans, vulnerable children and their families. SOS Children’s Villages in Rwanda actively advocates for the promotion of childcare and child protection.

SOS Children’s Villages in Rwanda has its head office at Gasabo District, Kacyiru sector, Kamatamu Cellulle, road to MINAGRI-Nyarutarama.
It has different facilities around the country where it operates including but not limited to locations:

1. SOS Children’s Village in Rwanda Head Office and Training Center
2. SOS Children’s Village in Rwanda Kigali location,
3. SOS Children’s Village in Rwanda Byumba location
4. SOS Children’s Village in Rwanda Kayonza location
5. SOS Children’s Village in Rwanda Gikongoro location
6. SOS Children’s Village in Rwanda Kagugu TVET School
7. SOS Children’s Village in Rwanda Gisozi elementary School etc.
SOS Children’s Villages in Rwanda operates a social business facility that support its daily activities. In regard of the above, SOS Children’s Villages in Rwanda would like to hire a social business partner to jointly run some of its activities as will be agreed upon in a manner that will attain profits and at the same time grow its external client base.
Under the scope of social business activities, SOS children’s Villages in Rwanda intends to hire a company that has experience in general management of businesses and specifically the catering and bakery services under the training center unit.

TERMS OF REFERENCE

TENDER FOR HIRING A BUSINESS PARTNER AT SOS CHILDREN’S VILLAGES IN RWANDA

This tender concerns partnering SOS Children’s Villages in Rwanda businesses activities as mentioned in the introduction by providing commercialization, promotion and marketing strategies to improve on the market base and external client maximization.

I. Purpose of work

The successful bidder shall provide smooth management with promotions, marketing skills and strategies with a high sense of compliance to the national regulations and procedures. He/she must be capable of delivering high quality/exceptional services that are client and environment friendly. The project targets to create more customers within or outside Kigali city for the realization of high profit margins.
SOS Children’s Villages in Rwanda is looking for a company to subcontract its Social business activities which include;
1. Bakery Management, this comprises of management of supplies, productions and all other related activities.
2. Training center catering services management which comprises of all catering services offered at the SOS training center premises.
3. External client acquisition and management for maximum profitability.
Upon successful operations management of the above services after the first six (6) months, there might be a possibility to add/ offer other services to the successful bidder upon satisfactory performance.

2. Documents necessary to comply with an assignment

 RDB Certificate of Registration
 Good standing of a company issued by RDB
 Having a reputation in Rwandan Market
 Having Complied with Rwandan tax policy proved by the RRA certificate
 RSSB Valid certificate
 Goods completion certificate
 Recent Financial Audit report 2022-2023

3. Required Skills and Competencies of the company staff

 Ten (10) years in the general business operation
 Excellent communication, negotiation and record keeping capabilities
 Excellent knowledge in cost analysis and profitability
 Must submit the company/ team structure and composition (including CVs and certificates obtained for at least the top three staff).
 The company must be having an Electronic Billing Machine (EBM) system.
 Customer care, management & marketing skills
 High level Entrepreneur skills (Innovative & creative)
 Having prior experience with SOS Children’s Villages in Rwanda (SOS Children’s Villages in Rwanda policies and procedures is a plus)
 Thorough understanding of the scope of the social business operations.

4. Duration of assignment

The assignment will be for six months which may be renewable upon satisfactory performance after evaluation.
